Refund & Cancellation Policy

At BetterBots AI Solutions Private Limited, we are committed to delivering reliable, high-quality AI-powered and WhatsApp-based software solutions that help businesses improve customer engagement and operational efficiency. This Refund & Cancellation Policy explains how subscription cancellations, refunds, renewals, and billing-related matters are handled for our monthly subscription services.

Monthly Subscriptions

All BetterBots products and services are offered on a monthly subscription basis, billed in advance for each billing cycle.

If, within the first 7 days of activating your initial monthly subscription, you are not satisfied with the service, you may contact our support team. We will make reasonable efforts to understand the concern, provide technical assistance, suggest a workaround, or communicate a clear resolution timeline.

If the issue cannot be resolved within this initial period, a full refund of the subscription amount may be issued at our discretion, and the service may be downgraded, suspended, or deactivated.

After the first 7 days, monthly subscriptions become non-refundable, including but not limited to:

  • Partial usage of the service
  • Unused days within a billing cycle
  • Early cancellation by the customer
Cancellations

Customers may cancel their subscription at any time to prevent future billing.

  • Cancellation will stop subsequent auto-renewals
  • The service will remain active until the end of the current billing cycle
  • No refunds will be issued for the current or already-used billing period upon cancellation

Cancellation requests must be made through the designated account management options or by contacting BetterBots support.

Pro-Rated Refunds (Service Availability)

In rare cases, if during an active subscription period a core functionality that was available at the time of subscription is permanently removed or discontinued, and:

  • the issue is reported promptly by the customer, and
  • BetterBots is unable to restore the functionality or provide a reasonable alternative within the communicated timeline,

then a pro-rated refund or service credit for the unused portion of the subscription period may be considered. Such refunds or credits are issued solely at the discretion of BetterBots AI Solutions Private Limited.

Downgrades & Plan Changes
  • Downgrading subscription plans, reducing usage limits, or removing add-ons during an active billing cycle does not qualify for refunds.
  • Any approved plan changes will take effect from the next billing cycle, unless otherwise stated.
Auto-Renewal

All monthly subscriptions are set to auto-renew by default to ensure uninterrupted access to the service.

  • Customers will be notified prior to each renewal, where applicable
  • A payment receipt will be issued after every successful transaction

Customers are responsible for managing their subscriptions and ensuring cancellations are completed before the next billing date if they do not wish to continue the service.

Missed Cancellations & Renewal Charges

If a subscription renewal payment has already been processed, refund requests raised within 5 business days from the renewal date may be reviewed on a case-by-case basis. Approval of such refunds is not guaranteed and remains at the discretion of BetterBots.

Requests raised after this period will not be eligible for refunds, including pro-rated refunds.

Exceptions (No Refunds)

Refunds (full or pro-rated) will not be issued if an account is suspended, terminated, or restricted due to violations of BetterBots’ Terms of Service, including but not limited to:

  • Fraudulent, abusive, or misleading activities
  • Misuse of WhatsApp or other messaging platforms
  • Phishing, impersonation, or spam-related behavior
  • Violation of applicable laws, regulations, or third-party platform policies
